MTPS ACTIVITY FEE PROGRAM



Dear Parent/Guardian-


If your son/daughter has expressed interest in participating in an extracurricular club, activity, or athletic program during the 2021-2022 school year, please read the following carefully. 


This letter serves as a reminder that as per the Moorestown Township Public School District Policy 2436, “the Board of Education authorizes the establishment of an activity participation fee program as a supplemental revenue source contributing to a percentage of the school district’s total costs for operating school-sponsored activities.”  The policy requires that all students participating in school-sponsored athletic or co-curricular activities are required to pay a fee as established each school year.  In coordination with the budget process, the 2021-2022 fee structure will include all athletic and theatrical programs as follows.

*Payment of the Student Activity Fee includes all activities and athletics for the student to whom the fee is assigned and paid in full.  The fee for students who only wish to participate in clubs and activities (non-athletic and non-theatrical) is being waived for the 2021-2022 school year.


Participation Requires Payment

The table below indicates the payment deadlines for the 2021-2022 school year.  Any student not paying the fee as of the deadline will be removed from their activity and will not be allowed to participate in any capacity until the Participation Fee has been paid.  Please note that it is the intent of the Board of Education that no student be denied the opportunity for an extra-curricular educational experience due to the financial hardship of a participation fee; therefore, students who qualify for the Federal Free and Reduced Lunch Program are EXEMPT from paying the Participation Fee.  The form can be found at https://tinyurl.com/MTPS-FRLForm-21-22. Any family wishing to appeal the decision based on the Free and Reduced Lunch Application should contact the district business office for further instructions.


Please understand the Participation Fee entitles the participant access to athletic or extracurricular activities and does not guarantee a position, role, or playing time.  It also does not guarantee the participant or his/her family, parent or guardian control over any conditions, guidelines, or policies regarding the rosters, teams or activities.


Method of Payment

The preferred method of payment will be the electronic payment system that is now accessible via the Genesis Parent Portal by clicking on the 21-22 MTPS Activity Fee in the Optional Fees section. You will be redirected to a new payment service, Pay Schools (https://www.payschoolscentral.com/) that communicates directly with Genesis on a nightly basis. Please register with the Pay Schools website in order to make your payment for the Activity Fee (Registration Instructions: https://tinyurl.com/MTPS-PaySchools-RegisterInfo). If you have questions or are unable to make online payments, please contact your school’s main office for directions on how to make the activity fee payment. 


For families with more than two children: Please submit the form in Genesis called ‘21-22 MTPS Activity Fee Waiver’ if you have more than 2 children participating and have paid the fee for 2 students. We will record the payment as a waived fee in Genesis.  


PLEASE NOTE: Do NOT try to use the Parent Payment Portal that is used for the cafeteria. You must click on the link in the Fees and Fines section of the Genesis Parent Portal to access the payment system.


Refunds are Conditional

The Student Activity Fee is only refundable in specific circumstances. Any participant who chooses to leave a club, activity or team voluntarily or who is dropped for disciplinary or scholastic deficiencies is not eligible for a refund after the first official date of the activity not including the pre-season or audition period.  The first day shall be considered the first day of regular season practice/play for athletics and October 1 for clubs and activities not including theatrical programs. For theatrical programs, the first day shall be considered the first official rehearsal following any audition period granted by the director(s). 


If a student is not selected to participate in an activity, they would receive a refund if it is the only activity in which the student plans to participate during the school year. If the student is not selected, the parent must request a refund, in writing, to the building principal. The principal will then validate the status of the student for the activity or team, then will forward the validated request to the Moorestown Township School Business office. Families should allow for at least one month for this refund to be processed. 


The Superintendent of Schools shall be authorized to approve an activity fee refund to a pupil or family for extenuating circumstances. All full or partial refund requests must be completed and submitted by May 31st of the year for which the Student Activity Fee was paid or the fee will be forfeited.
